2014-INFO S-121-0001: Administrative Assistant II - I.T. Department Information Technology City, State Springfield, MO Work Schedule Monday - Friday Shift Schedule 8:00 am - 5:00 pm Hours Per Week 5 - 10 hours Job Grade 08 Job Responsibilities Under general supervision and following existing policies and procedures as well as all applicable banking laws and regulations, including BSA and AML, is responsible for providing administrative support functions. This position requires a good working knowledge of the area of responsibility in order to assist with preparing internal and external correspondence, preparing and compiling various reports, receiving and directing visitors, arranging meetings and other special events, maintaining data files and other records, and working on various special reports and projects. Responsibilities and Duties: 1. Completes a wide variety of word processing tasks including external correspondence, internal memorandums, procedure manuals, reports, forms and tables. (20% - E) 2. Completes a wide variety of spreadsheet tasks by assisting in the preparation of administrative reports, summaries, tables, statements, etc… Gathers data, performs routine calculations, and prepares the reports for analysis and review. (20% - E) 3. Receives and screens visitors and telephone calls, notifying the applicable officer or records the appropriate information for relay. Responds to general inquiries concerning related activities according to established procedures and policies. (10% - E) 4. Assists with maintaining record keeping and filing systems. Classifies, sorts, and files all applicable correspondence, articles, reports, and other documents. (10% - E) 5. Regularly initiates internal contacts to obtain or relay information. (10% - E) 6. Opens, sorts, and distributes all incoming internal and external mail. (10% - E) 7. Assists with the arrangement of meetings and special events, schedules appointments, and maintains a calendar of events. 10% - E) 8. Performs other duties as assigned. (10% - E) Minimum Education & Other Requirements Must possess the knowledge and analytical skills necessary to perform the essential functions of this position. Must have excellent 10-key, math, and computer skills (especially word processing, spreadsheets, and email). Must be detailed oriented and have the ability to create and analyze reports. A high school equivalency is required. At least 6 months to 1 year previous banking and/or Jack Henry software experience preferred. Must possess a high degree of interpersonal skills and have the ability to communicate effectively both verbally and written. EOE/AA
