The Purchasing Manager is responsible for buying goods and services as per the hotel’s requirements in terms of guest needs and hotel usage, taking into consideration price, quality, availability, reliability and technical support when choosing suppliers and merchandise.
It is the responsibility of the Purchasing Manager to negotiate the best deal for the hotel, meaning the highest quality goods and services at the lowest possible cost without compromising quality. In order to accomplish this successfully, the Purchasing Manager needs to study sales records and inventory levels of current stock, identify foreign and domestic suppliers, and keep abreast of changes affecting both the supply and demand of products and materials.
Manage and monitor the Purchasing operation in accordance with the departmental policies and procedures.
Update Purchasing policies and procedures when changes occur and communicate to the team accordingly. Obtain quotations and complete market surveys to ensure high quality products at the best prices.
Negotiate with suppliers to achieve the most favorable prices.
Place Purchase Orders and ensure smooth delivery of supplies and equipment to the hotel as per the specified delivery times.
Maintain stock records and review minimum and maximum stock levels regularly.
Review and refine equipment specifications with department heads for inclusion in the Capital Expenditure Budget.
Organize and attend meetings with suppliers and relevant department heads with regards to major purchases or projects.
Evaluate new and existing suppliers to ensure the supplier is capable of delivering the desired goods or services on time and in the correct quantities.
Maintain detailed information on suppliers and latest available products to be able to provide timely and accurate information to colleagues.
Ensures all purchases are obtained at the highest possible quality and lowest possible cost.
Work closely together with the Executive Chef to make sure all food purchases are up to the required standards.
