Job Purpose
Responsible for performing all executive secretarial activities including: archiving and managing files, coordinating correspondences; keeping official records for the department, schedules, meetings and appointments.
Key Roles and Responsibilities
Secretary Activities
- Ensure the effective and efficient provision of secretarial support to the division/department to ensure smooth flow of activities.
- Answer telephone calls and give appropriate information to callers; and route calls to concerned personnel.
- Prepare minutes of meetings, draft and/or type reports and correspondences in order to ensure consistency and standardization of formats.
- Prepare responses to correspondence containing routine enquiries as requested by the department manager.
- Type, read and sort incoming memos and reports and plan their distribution.
- Receive, sort and distribute mail and facsimiles to the concerned employees, in addition to handling the outgoing mail and courier services.
- Coordinate with Travel Agencies, transportation and hotels as requested by the Division/ Department Head, by providing detailed itinerary reflecting appointments, names, contact details, addresses, locations as well as documents for all travel related meetings.
- Organize, file archive all paperwork, documents and computer-based information in their assigned filling and archiving system to facilitate future referencing and easy accessibility.
- Organize the office layout and maintaining supplies of stationery and equipment; maintaining the condition of the office in a neat and pleasant status.
- Operate and maintain office stationary and equipment (fax, photocopier, printer etc.) in a proper manner.
- Perform supply requisitions for the office to replenish depleted stationary and other running needs of the office.
- Perform general office duties such as ordering, maintaining records management systems, and performing basic bookkeeping work.
- Perform other duties related to the job as assigned by Direct Manager.
Job Requirements
Educational Qualification
§ Bachelor Degree in Business Administration or related field.
Work Experience
§ Minimum of 2 – 4 years of experience in the same or related field.
Salary
Up to 450 KD
