Euro Systems® is looking for an HR and Admin Head with a professional and confident attitude with excellent interpersonal and communication skills. Ability to form effective relationships with people at all levels and communicate well over the telephone, face to face and in writing. Should have good knowledge of the Labour Laws and good coordination with related ministries. Have skilled professional approach & experience in administrative areas such as office & factory management, facilities management, and policy development.


Key Responsibilities: 


  • Maintain office efficiency by organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment


  • Provide direct administrative support as needed, including scheduling appointments, meetings, and events, booking travel, maintaining filing system, mailing and shipping packages, and updating contact database and employee list


  • Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested


  • Planning HR and administration activities


  • Managing the payroll function, monthly salaries, following ministry rules and regulations related to salaries 


  • Maintain positive work culture


  • Design Workplace Policies


  • Resolve conflict


  • Ensure health and safety of employees


  • Developing and ensuring compliance with organization policies and procedures


  • Manage the overall general administrative activities of the organization, including filing, data entry, typing and assisting the management on communications and paperwork related to HR and Admin, assisting with travel arrangements, looking after visitors related to HR and Admin.


  • Providing Employees documents to the operations related to Site visits


  • Maintain accurate records as directed by management in relation to employees


  • Coordination of Employees appraisal-related meeting with management


  • Manage communications between department staff and other departments


  • Conducts regular meetings to update staff, hand out assignments and arrange special projects.


  • To maintain project details and provide service related to HR and Admin works.


  • Maintaining confidentiality of sensitive and confidential information.


  • Maintaining working relationships and communications with all departments


  • Coordinating and following up all works associated with PRO 


  • Provide general HR-related advice to management.


  • To provide a range of administrative support functions to the HR team, prepare offer letters, contracts of employment and variance letters, and accommodation letters.


  • Maintain accurate filing systems for all records generated in the HR department. 


  • Drafting and placing support job adverts for recruitment, sourcing job descriptions and coordinating with shortlisting and interviews Following shortlisting, invite successful candidates to interview and notify those not shortlisted. 


  • Alongside others in the team, ensure the HR Database accurately reflects current staff conditions and details. This includes contractual amendments, change of details, annual leave, recording of sicknesses, and other leave. 


  • Provide relevant reports from the HR database to audit and monitor employee data and training


  • To undertake delegated tasks and projects as required. 


  • Any other reasonable duties as directed by the General Manager or Director


  • Maintain confidentially of all documents


  • Carrying out other duties assigned by the General Manager

The candidate should have a minimum of 10 years experience as the HR and Admin and managed a team of 3 to 4 staff and must have worked in the Construction/Architecture industry.
