Job Description

**Contract Period: Up to December 31, 2025 (with possibility of an extension)**

GAVI CSO HOSTING ARRANGEMENT

Amref Health Africa serves as the host for the Gavi Civil Society Organization (CSO) Constituency, collaborating with an extensive network of civil society organizations across local, national, and international levels. This partnership provides coordination, strategic advisory services, governance support, process management, comprehensive communications, and administrative services aimed at advancing Gavi’s Immunization Agenda 2030, and the implementation of Gavi 6.0 Strategy.

JOB PURPOSE

The Programme Associate will provide both managerial and administrative support for the day-to-day operations of the Gavi CSO Hosting Arrangement. This role is pivotal in ensuring smooth project implementation, supporting administrative and logistics matters; and ensuring compliance with organizational and donor requirements.

PRIMARY RESPONSIBILITIES:

Programme Support:

  • Provide operational support for the implementation of the Gavi CSO Hosting Arrangement’s work plans and activities, ensuring quality and timely delivery.
  • Coordinate meetings, workshops, and events including the preparation of agendas, minutes, and follow-up on action points.
  • Facilitate communication and information flow between the Gavi CSO Steering Committee, Secretariat, Gavi Secretariat, and other stakeholders.
  • Assist in monitoring progress against work plans, budgets, and deliverables, and escalate issues for timely resolution.
  • Maintain the calendar of events, ensure it is updated regularly and inform stakeholders of upcoming events on time.
  • Routine administrative work as needed, including ad hoc administrative support to the Director.

Programme Management Support:

  • Coordinate the operational implementation of planned programme activities, ensuring that timelines, resources, and responsibilities are clearly aligned.
  • Monitor activity implementation and report emerging risks, gaps, or dependencies to the Director for timely resolution.
  • Assist in the development of internal tools or trackers to improve efficiency and consistency in programme delivery.
  • Provide support in documenting lessons learned and process improvements for future reference.

Compliance and Risk Management:

  • Ensure adherence to Amref Health Africa’s policies, donor regulations, and relevant legal frameworks governing project activities.
  • Support risk management activities by identifying, monitoring, and mitigating operational and financial risks.
  • Ensure all contractual obligations related to the project are fulfilled and documented accordingly.


Qualifications

Education

  • Bachelor’s degree required in Business Administration or a related field.

Required Qualifications and Experience

  • Minimum of three (3) years experience in project coordination or management within international development, health, or working with civil society organizations.
  • Experience working with multi-stakeholder partnerships and donor-funded programs is highly desirable.
  • Familiarity with Gavi policies, procedures, and global health governance frameworks is an asset.
  • Proven ability to manage administrative and financial tasks related to program implementation.

Knowledge, Skills and Abilities

  • Strong organizational and multitasking skills, with acute attention to detail.
  • Excellent interpersonal and communication skills, with ability to liaise effectively across diverse teams and stakeholders.
  • Proficiency in office software and virtual collaboration tools (e.g., MS Office, Google Workspace, teleconferencing platforms).
  • Ability to work under pressure, meet deadlines, and adapt to evolving priorities.
  • Demonstrated commitment to transparency, accountability, and ethical standards.
  • Proficient spoken and written English; knowledge of French or other languages would be an advantage.
