Job Description Scope of Position Handles day to day administration of the Human Resources function for Brown-Forman Cooperage Organization, with an employee population of approximately 350 hourly employees and three unions. Maintains employee information in Human Resource system, files and personnel records for all Human Resources related issues as well as provides assistance with recruiting and hiring of hourly workforce. Basic Function Provides assistance in the administration of Human Resources, Safety and Quality. Maintains all personnel files and records in the HRIT Workday system, correspondence, required regulatory information, and other related documentation. Provides clerical support for the Human Resources Department, Plant Manager as well as the BF Cooperage General Manager. Coordinates plant-wide activities and assists with plant communication. Human Resources Department Support: • Responsible for administering plant communications including updating Barrel Vision, facility bulletin boards as well as ensure compliance with all State and Federal posters/postings. Also responsible for the development and distribute of the quarterly employee newsletter. • Support recruitment administration for Louisville based employees: including placing ads, contacting employment offices, processing resumes and schedule interviews. Coordinate physicals and drug screen for candidates. Processes requests for employment verification, background checks and maintains official personnel files including I-9 verifications. Respond to applicants not selected with a rejection letter. • Conduct annual audits and ensure compliance. (Code of Conduct, Harassment Policy, etc.) • Maintain all three BFC employee handbooks and ensure 100% competition of signed acknowledgements. • Ensure completion of monthly new hire audits and reviewing documentation for accuracy. • Provide clerical support to all areas of Human Resources, including Safety, Quality and General Manager. • Assist with new employee orientation program and annual training day events. • Work on reporting and projects as needed to support HR. • Update Workday with all hourly employee grade levels changes; enter shifts, work schedules, vacation scheduling, etc. jd2">jd2 jd2">General Office and Operations Support: • Coordinates and orders office and training supplies. • Coordinate all plant wide employee relations activities such as recognition events, United Way campaign, Fund for the Arts, Live Well, etc. • Receive and process mail and other correspondence across the organization. • Coordinate and communicate plant tours to production team as well as schedule tour guide. • Serve as backup for facilitating plant tours. • Serve as the Cooperage Diversity Resource. • Serve as back-up for warehouse and shipping department. • Assist with meeting scheduling, hotel arranges, etc. for Cooperage GM and Plant Manager. POSITION DESCRIPTION QUALIFICATIONS Must Requirements (including any physical requirements) • 2 year associates degree in business, Human Resources or related field. • 2 + years experience in Human Resources or similar HRIS department. • Three + years administrative experience. • Strong oral and written communication skills dealing with memos, letters, and newsletter. • Excellent organizational skills. • Proficient knowledge operating PC, utilizing Google, Microsoft Word, Excel, PowerPoint. Demonstrated ability to learn and apply new software skills. • Demonstrated interpersonal skills. Ability to interact effectively with all levels within the company. Ability to deal with emotional situations with tact and professionalism. • Demonstrated ability to maintain confidential information. Preferred Requirements • Experience with Workday HR system. • Experience in a production or manufacturing environment. #AP 1
