Title: Office Administrator-Corp. Aircraft Location: US-MN-Minneapolis Job Number: MIN04371 Position Purpose: This is a highly visible position, interacting with Flight Department personnel, vendors, executives traveling on the corporate aircraft, their assistants, and corporate visitors. This position is required to manage the department accounting and records, assist in scheduling the company aircraft fleet, provide general office service and support . The person in this position must be highly organized, a self-starter with strong initiative and follow through skills, and will appropriately handle confidential materials. This person will add value as a member of the team through strong administrative, organizational, technical and communication skills. Responsibilities: Administrative Act as a point of contact for various stakeholders including Senior Executives and their assistants, corporate visitors, vendors and flight department personnel. Responds to internal/external customer requests and inquiries while maintaining a high level of customer service. Manage various administrative duties including personnel data, vacation usage, stock and supplies, and meeting minutes. Assists the International Operations manager in maintaining the International Briefcase in each aircraft with current international forms, checklists, Letters of Authorization, and insurance, customs, immigration and agriculture documents relevant to all aspects of worldwide travel. Ensures proper documents are maintained in aircraft documents book. Develop materials including internal memos, external correspondence and presentations using Microsoft Word and PowerPoint. Department Accounting Functions Provide general office support, invoice management, payroll, record keeping and other administrative duties as directed by the Department Manager and Chief of Maintenance. Manage accounts payable and receivable. Aircraft Scheduling Assists and backfills the Scheduler/Dispatch functions as needed. Plan trips, obtain ground transportation/ hotels/ catering, communicate with involved parties, complete visa applications, etc. Coordinate with flight crews and customers to ensure trip planning details are accurately executed and communicated. Qualifications: Required • High School diploma or GED • 5 years experience in a office environment • Ability to work independently in fast paced environment • Strong decision making and problem solving skills • Attention to detail • Ability to multi-task and communicate effectively with all levels of the organization • Strong interpersonal skills with the ability to work with a variety of individuals, both internal and external • Ability to work as a team player • Demonstrated ability to be flexible and adaptable in an ever-changing work environment • Proficiency with MS Office Suite • Strong attention to detail and follow-up; ability to multi-task; results-oriented Preferred • Two year college degree • FAA Approved Flight Attendant Certification Course • Corporate Aircraft Flight Attendant experience Job: Administrative/Support Services Cargill is an EEO/AA employer.
